The grantee is responsible for adhering to the applicable guidelines.

Grant agreement

The grant agreement must be signed and approved by the Carlsberg Foundation before any request for disbursement of the grant can be made.

It is a requirement that both the grantee and the representative of the administrating institution sign the grant agreement.

By signing the grant agreement, the grantee confirms the acceptance of the grant and their commitment to complying with the terms set out in the grant agreement and the grant guidelines.

Final PhD assessment

If the PhD degree has not obtained at the time of application deadline, a copy of the final PhD assessment must be submitted before the start of the project. 

To submit the assessment, the grantee must create a message with the attached file in the Carlsberg Foundation application and grant system (CF-Grant). 

Disbursement of grant

A request for disbursement of 80 % of the grant must be submitted at the start of the grant period, and no later than three months thereafter. The remaining 20 % may be requested once the final scientific and financial reports have been approved.

Requests for grant disbursement must be submitted via the Carlsberg Foundation application and grant system (CF-Grant).

The grant will be reported to the Danish Customs and Tax Administration (SKAT) with reference to the host institution's CVR number.

Administration of the grant

The grant must be administered by the Danish, Greenlandic, or Faroese research institution hosting the project.

Grant period

The grant period is specified in the grant letter or in a subsequent approval.

Any changes to the grant period must be approved by the Carlsberg Foundation.

Requests for changes to the grant period must be submitted via the Carlsberg Foundation application and grant system (CF-Grant), no later than one month before the start or end of the grant period.

If the funding has not been fully utilized by the end of the grant period, any remaining funds will be forfeited.

Redistribution of budget lines

Any redistribution of individual budget lines exceeding 25 % requires prior approval from the Carlsberg Foundation.

Other funding

The grantee must immediately inform the Carlsberg Foundation of any additional funding obtained during the grant period, providing details of any potential overlap.

Change in employment

Any significant changes in employment status during the grant period must be approved by the Carlsberg Foundation. For example, if the grantee obtains a position as a tenure-track assistant professor.

Parental leave

Only applicable to projects not covered by the agreement on project supplements.
The Carlsberg Foundation covers additional expenses incurred by the research institution in connection with parental leave (for mothers and fathers/co-mothers as defined by the relevant national legislation).

The institution must submit an account of the additional expenses to the Carlsberg Foundation at the end of the parental leave period. Additional expenses are calculated as the remaining amount of the salary paid, including pension contributions and holiday pay, minus any reimbursement received from public sources.

Additional expenses will be disbursed as a supplementary grant to the existing grant.

Sick leave

The Carlsberg Foundation covers additional expenses incurred by the research institution in connection with sick leave exceeding 30 days.

The institution must submit an account of the additional expenses to the Carlsberg Foundation at the end of the sick leave period. Additional expenses are calculated as the remaining amount of the salary paid, including pension contributions and holiday pay, minus any reimbursement received from public sources.

Additional expenses will be disbursed as a supplementary grant to the existing grant.

Communication and publication

In interviews with journalists and in any contact with the media regarding the research, we encourage acknowledging that the research is funded by the Carlsberg Foundation. Furthermore, it should preferably be clearly stated in all peer-reviewed publications, conference proceedings, monographs, and similar outputs that the research is funded by the Foundation.

This can be done by including the following statement in the Acknowledgments section: “The work presented here is supported by the Carlsberg Foundation, grant CF00-0000.”

Patenting, licensing agreements, and sale of knowhow

Any invention or utility model developed by employees as a result of work on a project funded by the Carlsberg Foundation must be managed by the host institution in accordance with its internal guidelines.

The Carlsberg Foundation does not claim ownership of, nor require any rights to, intellectual property resulting from activities supported by the grant.

Research practice and integrity

The grantee must adhere to the Carlsberg Foundation standards for good research practice and the Danish Code of Conduct for Research Integrity developed by the Ministry of Higher Education and Science.

Reporting

A scientific and financial report must be submitted no later than three months after the end of the grant period. Reports must be submitted via the Carlsberg Foundation application and grant system (CF-Grant) using the Carlsberg Foundation reporting templates.

The grant will be considered complete once the Carlsberg Foundation has approved the reports.

If the grantee fails to comply with the reporting guidelines, the Carlsberg Foundation reserves the right to demand repayment of the grant, in whole or in part.
